The Solution Matrix

It’s a relationship, not a project

Three Tools for beginning a relationship, and twelve phases that carry it from first hello to a partnership that renews itself.

The matrix

Your solution takes shape in the matrix, not in a template

A matrix is the setting in which something develops, and the form that shapes it. That is the idea behind the name. You bring the elements of your business — its people, processes, data and goals — and we work with you to develop, form and shape them into a solution that fits the way you operate, rather than bending your business to fit a package.

The Solution Matrix brings four things together:

  • Solution and relationship principles — the work starts from your goals and requirements, not from a product list.
  • Established implementation methodology — a proven structure, adapted to your business rather than applied to it.
  • Implementation and management expertise — attention to how the business is run, not only to how the software is configured.
  • Business and emotional intelligence, in balance — because a system succeeds or fails on how the people using it are brought along.

It is organic by design. It changes as your requirements change, adapts as your business does, and circles back whenever it needs to. That is why it has two parts: three Tools for beginning — and for checking in — and twelve phases, most of which repeat for as long as the relationship lasts. Every one of our services is run inside it.

The Three Tools

Each Tool works two ways

Low-risk ways to begin a relationship — and to strengthen it for years after. Each Tool works two ways: as a way to get started with a new client, and as a way to support, realign, and grow an existing one.

Real-IT Check

A free, no-obligation review; an honest read on where your systems stand today.

Getting started
A low-risk first look for a new prospect.
Existing clients
An annual or semi-annual check-in — confirm satisfaction, realign expectations, and measure goals against results.

Aud-IT Review

A fixed-fee, deep-dive assessment; a clear-eyed diagnosis with documented findings you keep.

Getting started
Rescue a troubled or inherited system before committing to a new partner.
Existing clients
A mid-project or post-go-live deep-dive when things drift off-track or operations have changed.

Proof-IT First

A Proof-of-Fit prototype, shaped to look and feel like your business, using your kind of data and your kind of processes.

Getting started
Prove we understand a new prospect before either of us commits.
Existing clients
De-risk a significant add-on or upgrade — see it working before you invest.

None of the three obligates you to go further. Each stands on its own.

The Twelve Phases

From first hello to a partnership that renews itself

Phases 1–3 happen once. Phases 4–12 recur for the life of the relationship, because Re-Think IT is Think IT for a client you already have, and Propose IT is Plan IT for a client who already trusts you. After Propose IT, the cycle returns to Make IT.

Phases 1–3

Getting to Know One Another

For a new prospect or client only.

  1. Phase 1: Start IT

    First contact. The relationship begins.

  2. Phase 2: Think IT

We listen — and document your needs, goals, and pain.

  3. Phase 3: Plan IT

We shape it into a strategic, multi-phased plan.

Phases 4–7

Building and Going Live

For a new or an existing client.

  1. Phase 4: Make IT

We build it together, so you truly own the result.

  2. Phase 5: Test IT

We prove it works: functionality and data integrity.

  3. Phase 6: Run IT

“A Day In The Live” — a real-world readiness run.

  4. Phase 7: Live IT

Go-live, smooth by design and fully supported.

Phases 8–12

Keeping and Growing the Partnership

For existing clients only.

  1. Phase 8: Support IT

We maintain and stand behind every solution in our care.

  2. Phase 9: Optimize IT

We improve your solution for smoother operations and better results.

  3. Phase 10: Evolve IT

We evaluate and grow the solution as your goals and needs change.

  4. Phase 11: Re-Think IT

We imagine new solutions, and plan how to get you there.

    Replaces Phase 2, Think IT.

  5. Phase 12: Propose IT

We get your approval of the plan.

Replaces Phase 3, Plan IT. The cycle then restarts at Phase 4, Make IT.

The cycle

Most of the methodology comes into play after the first go-live
